BEN HILLS <br />MEMORANDUM <br />DATE: June 27, 2011 <br />TO: Honorable Mayor and City Councilmembers <br />FROM: Patrick Klaers, City Administrator <br />SUBJECT: Fire Protection Contract Renewal <br />Background/Discussion <br />In the process of completing all the staff work involved with the City Audit, the Director <br />of Finance and Administrative Services, Sue Iverson, discovered that the City had not <br />officially Protection Y <br />dally renewed our Fire Protection Services Contract with the Lake Johanna Fire <br />Department (LJFD). This also happened the last time the Contract was up for renewal. <br />The original Contract was for the 1999 -2003 time period. Per the Contract document, the <br />Contract can be renewed three times for five years each time. As I understand the <br />situation, the Contract is set up with five renewals because nobody wanted to ro - <br />Contract p p ose a <br />tract that ran for 20 years. <br />The City did not renew this Contract in a timely manner in late 2002 for the 2004 -2008 <br />period. The actual renewal was approved by the City Council on June 11, 2007. <br />The City was to again renew the Contract in late 2007 for the 2009 -2013 p eriod; but this <br />action did not take place. The City should now take care of this administrative oversight <br />and approve the five year extension for 2009 -2013. Staff will take steps to remember to <br />have the Contract renewal considered in late 2012 for the 2014 -2018 period. <br />Recommendation <br />Attached is Resolution 2011 -033 that extends the Fire Protection Service Contract <br />between the City of Arden Hills and the LJFD for January 1, 2009 through December 31, <br />2013.
