'!Tt <br /> EN HILLS <br /> MEMORANDUM <br /> DATE: February 11, 2013 <br /> TO: Honorable Mayor and City Councilmembers <br /> Patrick Klaers, City Administrator <br /> FROM: Meagan Beekman, City Planner and Amy Died, Deputy Clerk <br /> SUBJECT: Discussion Regarding Agenda Center Module <br /> Backl4round: <br /> In the process of rolling out the City's new website in December 2012, more was learned about <br /> the website module called, "Agenda Center", which offers the ability to create an agenda <br /> electronically. It was an exciting discovery to learn how user-friendly the software is <br /> considering most agenda creation software costs tens of thousands of dollars and can be complex <br /> to set-up and begin using. <br /> Currently, all Council/Commission/Committee agendas and minutes are found on the City's new <br /> website in the Agenda Center, but the agendas that are found there were created using current <br /> agenda preparation processes. <br /> What is not being utilized at this time is the functionality of staff being able to login to the <br /> Administrative portion of the Agenda Center with the purpose of creating their agenda items <br /> online. Staff is exploring the possibility of taking advantage of this software to create agendas <br /> electronically, which would save a considerable amount of staff time. <br /> Requested Action: <br /> Staff would like to provide a demonstration of the Agenda Center to the Council and have a <br /> discussion regarding creating agendas electronically. <br /> Please note that even if the Council is in support of using the Agenda Center software to create <br /> agendas electronically, staff would still plan on offering a paper packet to the Council.
