AGENDA ITEM <br /> <br /> <br /> <br />MEMORANDUM <br /> <br /> <br />DATE: <br /> October 21, 2013 <br /> <br />TO: <br /> Honorable Mayor and City Council Members <br /> <br /> Patrick Klaers, City Administrator <br /> <br />FROM: <br /> Sue Iverson, Director of Finance and Administrative Services <br /> <br />SUBJECT: <br />Update on City Cell Phones and Tablets <br /> <br />Background <br />The City provides cell phones to Public Works employees to communicate with while on the job <br />and on-call, this includes the Assistant City Engineer and the Public Works Superintendent. Cell <br />phones are provided to the Manager of Parks and Recreation and the Recreation Programmer as <br />the manager gets alarm call and both receive calls from the various recreation staff that are on <br />duty during programs. The Building and Code Enforcement staff has cell phones as they are out <br />on inspections and many times have calls back into staff or staff needs to get a hold of them <br />dependent upon the situation. One phone is set aside for Emergency Management purposes. In <br />2007, it was decided that all management staff (City Administrator and the Directors) should <br />have phones, as they are frequently in meetings and this allows the office to contact them and to <br />also receive emails. <br /> <br />In 2007, one Council member requested a laptop in order to respond to resident emails, this <br /> After discussions with the Council, all Council <br />Council members were able to make changes to them and save them to their tablet and use for <br />meetings. All Council members received tablets and returned the laptops which were then used <br />to replace the old, outdated department laptops at City Hall and Public Works. Since the advent <br />of the new website, I have noticed that the Council does not seem to be using the tablets for their <br />packets, although they can still download them to their tablets if they wanted to. <br /> <br />Discussion <br />This memo is an update per a request during the September worksession from a City Council <br />member regarding City owed cell phones and tablets. <br /> <br />Public Works currently has three tablets that they are using for the as-builts, locates, and new <br />systems for the lift stations and the water tower. With all the new technology, some of this also <br />works on their phones.
