w <br /> CITY OF ARDEN HILLS <br /> MEMORANDUM <br /> DATE: May 9, 2001 <br /> TO: Joe Lynch, City Administrator <br /> FROM: Michelle Olson,Furniture Committee <br /> SUBJECT: City Hall Project,Furniture Bids <br /> Background <br /> Architectural Alliance was hired to work with the City of Arden Hills Furniture <br /> Committee (composed of Joe Lynch, Michelle Olson, and Pam Sweeney) to determine <br /> the furniture needs for all offices, conference rooms, lobby, council chambers, and <br /> community room. After several meetings, our needs were determined. <br /> Architectural Alliance was authorized to put together a bid packet and advertise for bid. <br /> On Thursday, April 26, 2001, Architectural Alliance held a bid opening at The Arden <br /> Hills City Hall. The six low bidders were Albinsons,FSI, General Office Products,KI, <br /> Pink, and Plantscape. <br /> Bid Results <br /> The grand total low bid for all items was $120,878.09. Bidders were allowed to bid on <br /> individual items, with the low item bid, rather than the overall project bid,prevailing. <br /> (See enclosure). The budget estimate for furniture was $155,000. The bid is $34,121.91 <br /> under the budget estimate. Council should note that kitchen appliances, lower level <br /> storage shelving, or facility art work was not included in the bid packet. <br /> Recommendation <br /> Staff recommends that the City Council award the Furniture bid to the six low item <br /> bidders (Albinsons, F.S.I., General Office Products, KI, Pink, and Plantscape) in an <br /> amount not to exceed $120,878.09, and authorize the City Adminstrator to execute all <br /> necessary documents and contracts to proceed with purchase and installation. <br />
