City of Arden Hills Personnel Policy Effective February 29,2016 <br />with the City's overall government policies. The City reserves the right to monitor and/or <br />log all network activity with or without notice, including all web site communications, <br />and therefore, users should have no expectations of privacy in the use of these resources. <br />Use of the system in violation of this or other City policies is prohibited and may lead to <br />disciplinary action, up to and including termination. <br />Uses that are acceptable and encouraged: <br />1. Communications and information exchanges directly relating to the mission <br />and work tasks of the City; <br />2. Announcements of City procedures, meetings, policies, services, or <br />activities; <br />3. Use for advisory, standards, research, analysis, professional development or <br />development activities directly related to the user's City job-related duties; <br />4. Use in applying for or administering grants or contracts for City programs <br />and activities. <br />Uses that are unacceptable: It is unacceptable for a user to access, use the City's email or <br />internet systems in a manner that: <br />1. Violates the City's policies, rules, or administrative orders; <br />2. Violates or infringes on the rights of any other person, including the right to <br />privacy without authorized permission; <br />3. Includes the sending of unreasonably large email attachments. The total <br />size of an individual email message sent or received (including an <br />attachment) must be 50 Mb or less (unless authorized by the Director of <br />Administrative Services or IT); <br />4. Involves opening email attachments from unkown or unsigned sources. <br />Attachments are the primary source of computer viruses and should be <br />treated with utmost caution. <br />5. Involves sharing email account passwords with another person, or <br />attempting to obtain another person's email account password. Email <br />accounts are only to be used by the registered user. <br />6. Excessive personal use of the City mail resources. The City allows limited <br />personal use for communication with family and freidns, independent <br />learning, and public service so long as it does not interfere with staff <br />productivity, pre-empt any business activity, or consume more than a trivial <br />amount of resources. The City prohibits use of its email systems and <br />services for unsolicited mass mailings, non-City commercial activity, <br />political campaigning, dissemination of chain letters, and use by non- <br />employees. <br />85
