City of Arden Hills Personnel Policy Effective February 29,2016 <br />4. Do not "say" anything in an e-mail message that could prove embarrassing <br />or compromising to you, the City, or others. Each employee is responsible <br />for the content of all text, audio, or images they transmit; <br />5. Avoid potentially contentious exchanges through e-mail; <br />6. Confidential and sensitive information such as performance reviews, <br />disciplinary and/or corrective actions, attorney-client privileged <br />information, personnel information, private data as outlined in the <br />Minnesota Government Data Practices Act, and health or medical <br />information should not be communicated via e-mail; and <br />7. Use your common sense in determining when to use e-mail, in what is said, <br />and to whom. Remember that electronic communication is not private and <br />the City reserves the right to monitor and review all communications <br />originating from or entering its computer systems. <br />SharePoint Purpose and Use <br />The purpose of the City of Arden Hill's SharePoint is to communicate work and <br />employee information. SharePoint is an internal website designed exclusively for City of <br />Arden Hills employees. <br />SharePoint Content <br />The City's Information Technologies, HR and Communications staff oversee all aspects <br />of SharePoint, including content and design. Selected staff are expected to update <br />SharePoint pages and will receive necessary training to do so. <br />All employees may post announcements on the employee message board. This may <br />include (but is not limited to) the advertisement of personal items for sale, family <br />announcements, and general inquiries to staff, which can be done intermittently and not <br />a part of a business. Use of the message board is not to be used in any way as a forum to <br />communicate opinions or promote personal agendas of any kind. Personal <br />announcements about other employees may not be posted without their consent. All <br />entries are subject to removal if considered inappropriate for content, language, or any <br />other reason. <br />E-mail Distribution Lists <br />The City's e-mail distribution lists generally are to be used for official City business only. <br />Distribution lists that include persons who are not City employees may not be used for <br />other purpose without the prior authorization of the City Administrator/Department <br />Director. Messages that are of general interest to City employees but not official business <br />should be posted to the message board on the SharePoint Extranet rather than mailed to <br />87
