Page 1 of 1 <br /> <br /> <br /> <br />AGENDA ITEM – 1F <br /> <br />MEMORANDUM <br /> <br />DATE: August 19, 2019 <br /> <br />TO: Honorable Mayor and City Councilmembers <br /> <br />FROM: Dave Perrault, City Administrator <br /> <br />SUBJECT: Public Works Administrative Assistant Discussion <br /> <br /> Budgeted Amount: Actual Amount: Funding Source: <br /> $91,000 $74,000 Salary Split <br /> <br />For Council Consideration <br /> <br />Council may provide direction or feedback on moving forward with a Public Works <br />Administrative Assistant position. <br /> <br />Background <br /> <br />Following a vacancy of the Public Works Director/City Engineer, Staff has been re-evaluating <br />how to move forward with the Public Works Director/City Engineer position (this will be <br />brought forward at a later date). In consultation with the City’s Interim Public Works <br />Director/City Engineer, Staff has been reviewing the Public Works Department organization <br />generally, too. Following a review and discussion, Staff believes there is a need for an <br />administrative assistant position to assist the Public Works Department with day-to-day <br />operations, this position would report to the Superintendent. Currently, all administrative <br />functions fall to the Superintendent and Public Works Director/City Engineer. During large <br />projects, this can hinder the ability of staff to operate effectively. The new position would likely <br />fall into a similar grade/step scale as our current Office Support Specialist (front desk) position <br />(Grade 7, $22.70 to $28.76, these are 2020 budget numbers). This position could assist with: <br /> <br />• Receive and respond to questions and requests for service from residents <br />• Implement a work order system for the Public Works Department <br />• Coordinate material orders and inventory <br />• Implement and monitor training and safety program for the department <br />• Coordinate MS4 Stormwater Permit data collection and recording <br />• Prepare informational mailings and notices for Public Works activities <br />• Document work load status and performance measure data
