Attachment A <br />'It <br />�I�EN HILLS <br />MEMORANDUM <br />DATE: September 16, 2019 <br />TO: Honorable Mayor and City Councilmembers <br />FROM: Dave Perrault, City Administrator <br />SUBJECT: Public Works Administrative Assistant Discussion <br />Budgeted Amount: Actual Amount: Funding Source: <br />$91,000 $74,000 Salary Split <br />For Council Consideration <br />Council may provide direction or feedback on moving forward with a Public Works <br />Administrative Assistant position. <br />Background <br />The staffing of Public Works is being reviewed in -conjunction with the discussion surrounding <br />the Public Works Director/City Engineer discussion. With the input of the current interim Public <br />Works Director/City Engineer, Public Works has a need for an administrative assistant position <br />to assist the Public Works Department with day-to-day operations, this position would report to <br />the Superintendent. Currently, all administrative functions fall to the Superintendent and Public <br />Works Director/City Engineer. Especially during large projects, this can hinder the ability of <br />staff to operate effectively. The new position would likely fall into a similar grade/step scale as <br />our current Office Support Specialist (front desk) position (Grade 7, $22.70 to $28.76, these are <br />2020 budget numbers). <br />This position would assist with: <br />• Receive and respond to questions and requests for service from residents <br />• Implement a work order system for the Public Works Department <br />• Coordinate material orders and inventory <br />• Implement and monitor training and safety program for the department <br />• Coordinate MS4 Stormwater Permit data collection and recording <br />• Prepare informational mailings and notices for Public Works activities <br />• Document work load status and performance measure data <br />Page 1 of 1 <br />
