AGENDA ITEM – 1B <br /> <br />MEMORANDUM <br /> <br />DATE: July 23, 2020 <br /> <br />TO: Honorable Mayor and City Councilmembers <br /> <br />FROM: Dave Perrault, City Administrator <br /> <br />SUBJECT: HVAC Replacement Update <br /> <br /> Budgeted Amount: Actual Amount: Funding Source: <br /> $350,000 $360,200 Equipment/Building Fund <br /> <br />For Council Consideration <br /> <br />Council may direct staff on moving forward with one of the recommended options for HVAC <br />replacement and upgrade. <br /> <br />Background <br /> <br />The City Council approved a proposal with Paulson and Clark to handle the design and <br />construction administration for replacing cooling and heating equipment at City Hall, their <br />recommendations can be found in Attachments A and B. The Council previously received <br />information from Johnson Controls on their recommendations, costs, etc., the previous memo is <br />attached for reference (see Attachment C). A representative of Paulson and Clark will be <br />available to walk the Council through their recommendation and answer any questions. <br /> <br />In summary, Paulson and Clark is recommending replacement with like equipment for both the <br />cooling and heating equipment, they did not feel a chiller was needed nor did they come across <br />any issues regarding manufacturer’s warranties or operational concerns. Paulson and Clark will <br />also comment on next steps and timing of the project. <br /> <br />Budget Impact <br /> <br />The project is budgeted in total at $350,000, the contract with Paulson and Clark is for $46,200, <br />leaving $303,800 for the equipment and installation. Paulson and Clark are estimating $304,000 <br />for the equipment and installation as recommended; staff would recommend Council consider <br />the duct work and unit heater replacement at $5,500 and $4,500, respectively. Should Council <br />move forward with the aforementioned items the total cost of the project would be $360,200, <br />$10,200 over what was initially budgeted; however, there is a $20,000 contingency built in for <br />general construction work, so the project may still come in at or under budget.
