1 <br />DATE:October 12, 2020 <br />TO:Honorable Mayor and City Councilmembers <br />FROM:Dave Perrault, City Administrator <br />SUBJECT:Approve Resolution 2020-048 Awarding HVAC Project to Air Express <br />Budgeted Amount: Actual Amount: Funding Source: <br />$303,800 $280,783 (Estimated) Building/Equipment Fund <br />Council Should Consider <br />The Council should consider approving resolution 2020-048 awarding the HVAC project to Air <br />Express based on the recommendation from Paulson and Clark. <br />Background <br />The City Council previously authorized the scope of work for the HVAC project and authorized <br />Paulson and Clark to assist the City in soliciting for bids. Ten bids were received and opened on <br />September 15, 2020. Paulson and Clark reviewed the bids and is recommending Air Express as <br />the lowest responsible bidder for the project. Attached to this memo are the bid tabulations (see <br />Attachment A) and a memo from Paulson and Clark outlining their recommendation (see <br />Attachment B). In addition to the base bid, Paulson and Clark is recommending Council approve <br />a contingency on the project of five percent and additional controls related work. <br />Budget Impact <br />The project is budgeted in total at $350,000, the contract with Paulson and Clark is for $46,200, <br />leaving $303,800 for the equipment and installation.
