CONSENT ITEM - 8I
r
-ARPEN HILLS
MEMORANDUM
DATE: September 9, 2024
TO: Honorable Mayor and City Councilmembers
Jessica Jagoe, Interim City Administrator
FROM: Lucas J. Miller, Assistant Public Works Director
SUBJECT: 2024 Street Maintenance Program — Large Area Patching project
Budgeted Amount: Actual Amount: Funding Source:
$220,000 $232,698.19 Street Maintenance Fund
Council Should Consider
Motions to approve, table, or deny the following:
Pay Request #1/Final from GMH Asphalt in the amount of $146,816.10 for the 2024
Street Maintenance Program Large Area Patching project on Grey Fox Rd, Red Fox
Rd and Lake Valentine Rd.
Background/Discussion
On July 16, 2024, Public Works staff received quotes to perform the proposed large area
patching project for Grey Fox Rd., Red Fox Rd. and Lake Valentine Rd. Staff selected these
streets for large area patching due to their pavement condition ratings which ranged from 51 to
57, pothole patching had increased significantly, and the City's Pavement Management Program
(PMP) project schedule does not address these streets until 2030 and 2032. Due to the high
traffic volumes on these streets and the need for a high level of traffic control, staff
recommended performing this work by a professional contractor.
On July 22, 2024, Council awarded the work to the lowest quote, GMH Asphalt, in the amount
of $141,472.00 and to proceed with the work. GMH completed the work ahead of the required
deadlines and work is 100% completed. Pay Request #1/Final is in the amount of $146,816.10,
which is $5,344.10 over the quoted amount due to additional striping and patches added by staff
in the field as a result of actual site conditions. Staff has reviewed the quantities and recommends
Council approve final payment to GMH for the work completed.
Page l of 2
