CONSENT ITEM - 8C <br />'It <br />EN HILLS <br />MEMORANDUM <br />DATE: July 28, 2025 <br />TO: Honorable Mayor and City Councilmembers <br />Jessica Jagoe, City Administrator <br />FROM: Julie Hanson, Assistant to the City Administrator/City Clerk <br />SUBJECT: Annual Data Practices Policy Review <br />Budgeted Amount: Actual Amount: Funding Source: <br />N/A N/A N/A <br />Council Should Consider <br />Motions to approve, table, or deny the following: <br />• Acceptance of the City's Minnesota Government Data Practices Policy and Procedures <br />Backiround/Discussion <br />Minnesota State Statute Chapter 13, Government Data Practices, Section 13.025, Subd. 3, provides for <br />annual review of the City's data practices policy. The City Attorney reviewed the City's current <br />policy and recommends incorporating reference to the newly added language to Minn. Stat. 13.03 <br />Subd. 3 which allows cities to suspend fulfilling a data practice request if the requestor doesn't pick <br />up the data requested within 5 days of being notified of its availability. It can be noted that generally <br />staff provides responsive data electronically versus physical copies, but in the event paper copies are <br />requested, this clarifying language is helpful.
