CITY OF ARDEN HILLS MEMORANDUM DATE: February 6, 2001 TO: Joe Lynch, City Administrator ,/", FROM: Dwayne Stafford, Public Works Director '/:; SUBJECT: Vehicle Purchase Back!!round The Arden Hills Public Works Department is currently on an eight-year replacement cycle for the City's smaller vehicles, which are used daily. The City's two, 1 ton dump/plow trucks purchased in 1993 were scheduled for replacement in 2001. Stafflast year decided to replace one of those trucks in 2001 and the other in 2002. This would flatten out the spending for those years, Uses The I ton trucks plow and sand as the larger trucks do, but generally take on the shorter, narrower areas and cul,de,sacs where maneuverability is a factor. In the summer the one tons are used for blacktop patching, as they are lower and easier to shovel from. Other uses are hauling brush and debris, pulling trailer equipment, plus general hauling and transportation. These are the most versatile trucks in the City's fleet. Current Trucks Condition Both trucks have approximately 40,000 miles on them. This seems relatively few, however plowing and salting take an unusual toll on small trucks. Both trucks are kept running well, but are high maintenance vehicles. Proposed Replacement Vehicle The Public Works Department has budgeted $55,000 to replace each I ton truck with a 1 Y:, ton truck. These will be the same size trucks with heavier components, such as frame, brakes, springs, axles, etc. Costs The City has received a quote from Superior Ford in Plymouth to provide an F,450 Ford meeting the City's specifications for a total net cost of: 50,769.00 Base Price 3,299.86 Sales Tax (6,5%) 800.00 Painting AH Tan $54,868.86 Total Cost Recommendation The Arden Hills Public Works Director recommends the City Council authorize staffto purchase one new Ford F-450 4x4 through the Minnesota State Cooperative Purchasing Agreement from Superior Ford, at a net cost of$50,769.
