.

.

.

A-It~k"",e..vd-- ~-1

,

CITY OF ARDEN HILLS

MEMORANDUM

DATE:

March 8, 2001

TO:

Joe Lynch, City Administrator

Technolo2V Studv Group f'f)JJ ')
Sandy Berres, Jennifer Chapu;(;Terrance Post, Dave Scherbel

FROM:

SUBJECT:

New City Hall Technology Recommcndations

The employee technology study group has met several times in the last two (2) months to discuss
tecbnology options in the new City Hall facility. Following is a listing (in no particular
prioritized order), of our recommendations.

1. Establish Microsoft NT as the network access file manager. This constitutes a change
from the existing NOVELL network system we currently use.

2. Standardize productivity application software to the Microsoft Professional Suite of
Word, Excel, Access, Outlook and Power Point (Premium, including Frontpage).

3. Upgrade PC workstations not being replaced to Windows 2000 operating systems.
Also, ensure that these workstations are NT compatible.

4, See enclosure for inventory/matrix of PC workstations/printers. This schedule
identifies an estimated $30,050 in 200 I capital itcms versus a budgeted $25,000. The
primary reason for the budget deviation is an estimated $4,000 for a digital scanner.
The digital scanner would be useful in maintaining the City's website, and converting
paper files to electronic files.

5. Consideration should be given to converting from the City's current NOVELL
network to NT prior to the relocation to the new facility. This would give us an
opportunity to work out technical problems prior to the move so that after the move,
we should be able to "plug and play."

6. We havc asswned that the replacement copier (current lease expires December 31,
2001) will be networked and to become another network printer for large production
jobs (i.e., utility billing).

7, Employee policies need to be developed regarding business vs. personal use of E-
mail and Internet. This policy may also be broadened to include software training
(i,e., during work hours or outside of work hours).

Enclosure
