<br />.. <br /> <br />. <br /> <br />. <br /> <br />. <br /> <br />~ <br />~~HILLS <br /> <br />MEMORANDUM <br /> <br />TO: Joe Lynch, City Administrator <br /> <br />FROM: Terrance Post, City Accountant@ <br /> <br />SUBJECT: Replacement Copier Recommendation <br /> <br />DATE: April 25, 2002 <br /> <br />cc: Aaron Parrish <br />Cynthia Young <br /> <br />After reviewing proposals from three (3) replacement copier suppliers, the following operating <br />lease cost comparison matrix emerges, <br /> <br /> Monthlv Annual <br />Xerox DC265 (current machine) $971.69 $11,660.28 <br />Konica 7165 $1,033,72 $12,404.64 <br />Xerox 48051 $1,149.52 $13,714.24 <br />Canon IR 7200 $1,152.92 $13,835,04 <br />Costs based upon 36 month operating lease rental and 30,000 copies/month (last 6 month volume average is 26,004 without utility bills) <br /> <br />Additional Options <br />Staff wishes to pursue pricing for a letter fold option on the finisher. <br /> <br />Budl!et Impact <br />The adopted 2002 budget includes $10,800 for equipment rental (AC #101-41500-4150) and <br />$5,490 for copier expense (AC #2020 - several departments), The total annual cost of the copier <br />replacement is within the total budgeted cost of $16,290, <br /> <br />Recommendation <br />Consistent with the conclusion in my April 17, 2002, memorandum on this subject, I again <br />would rank the Canon product highest in spite of higher lease costs. I believe that the higher cost <br />will be more than offset by a linkage between the city's evolving technology strategy and the <br />imbedded "universal send" software within the product. <br /> <br />Enclosures: <br />A.
