Work Session Minutes <br /> <br />ENCLOSURES: <br /> <br />Sample Agenda <br /> <br />BACKGROUND <br /> <br />Council Meeting Agendas <br /> <br />To better manage the agenda, staff would request that individual departments not be listed on the <br />regular City Council meeting agendas and that an "Unfinished and New Business" section be <br />added. This will allow for better agenda management and agenda item placement. Items that are <br />anticipated to have higher levels of public interest and/or outside parties attending could be <br />placed on the agenda first to maximize their time. An example of how the March 8, 2004 could <br />have been structured under this fonnat is attached for your review. <br /> <br />Work Session Minutes <br /> <br />In the past, the Deputy Clerk has taken minutes for Council Work Sessions. With the <br />restructuring of positions, staff wanted to take the opportunity to evaluate Work Session minutes. <br />In particular, given the fact that I tend to have a fair number of Work Session agenda items, <br />taking minutes at the meeting and compiling them after the meeting presents a challenge. In <br />addition, the Council on various occasions has had discussions on the level of detail preferred for <br />Work Session minutes. Internally generated minutes are generally not as detailed as those <br />provided by a recording secretary. If the Council would like to have a recording secretary take <br />minutes for the Work Session, it would cost approximately $300 per Work Session, or $3,600 <br />annually. This assumes a 4.5 hour meeting. <br /> <br />REQUESTED ACTION <br /> <br />1. Provide direction on the Council agenda fonnat <br />2.
