<br />Vo Strategic Technology Initiatives <br /> <br />StrateQic TechnoloQV Initiatives <br /> <br />Based on survey responses; an assessment of strengths, weaknesses, opportunities, <br />and threats; and evaluation by the City Management team, there are five strategic <br />technology initiatives that would further enhance the City's use of technology. Capital <br />expenditures necessary. to implement the strategic initiatives are outlined in the <br />subsequent Technology Investment Plan section. Each strategic initiative along with an <br />implementationtimeline is outlined below. <br /> <br />1. Document and Records Management: Record Retention, Public Information, <br />Document Management <br /> <br />Description <br /> <br />A document imaging system would allow the City to store and retrieve <br />documents in a digital format. By doing so, it is anticipated that the City can <br />realize the following benefits: <br /> <br />. <br /> <br />Increased workplace efficiency by minimizing time spent looking for <br />information. Fast document search and retrieval would allow one to find <br />sdmething in seconds what would normally take hours and/or days. <br /> <br />. <br /> <br />More efficient and effective research on historical issues. <br /> <br />. <br /> <br />Efficient electronic distribution of documents. <br /> <br />. <br /> <br />Effectively manage space at City Hall by destroying records consistent <br />with the State record retention schedule, that have been scanned, or when <br />necessary storing them off site. <br /> <br />. <br /> <br />Enhanced access for public information; potential to make certain <br />documents available and searchable on the website with the addition of a <br />web module. <br /> <br />. <br /> <br />AlloW the City to maintain documents consistent with document retention <br />guidelines. Certain documents are required to be maintained in perpetuity <br />(building plans, etc.). <br /> <br />Initial areas of focus, in order of priority, will include Council and Commission <br />minutes" agendas, and packets; ordinances and resolutions; building plans; <br />election information; address files; planning case files; utility bills; plats; accounts <br />payable; accounts receivable, and general City records. <br /> <br />City of Arden Hills <br />Technology Master Plan <br /> <br />6 <br />
