.

.

.

Memo
City Council
Audio Enhancements - Council Chambers
page 2

be better utilized by re-programming the AMX so that the volume of key microphones could
be adjusted, instead of the overall volume, The sound system was re'programmed with
individual controls for the Lectern, Presentation desk, and Wireless microphone sound
volumes.

The ceiling height in the Chambers and the location of the speakers also present a challenge.
Acoustic panels were placed on the Chamber walls to minimize the echoing effect.

The Council Chambers is also in need of video enhancements. This topic will be introduced to the
Council at a future meeting.

DISCUSSION:

Staff has worked with our cable technician and DS Productions to evaluate the current condition
and have three options to present.

1. Replace the existing ceiling speakers with better quality speakers, Add two rear
speakers by the back windows. Total cost, including labor and material is
approximately $2,100.
2. Do not replace the existing speakers, but install four speakers (two in front and two in
the back). These are high quality public address system speakers. The front speakers
are mounted on the walls on either side of the dais, directed towards the audience. A
second set of speakers will be mounted on the back walls, directed towards the dais,
The existing ceiling speakers will be in use, with their volume turned low. According to
audio experts, optimum speaker placement is on the walls, directed at the audiences'
ears, instead from above. Total cost, including labor and material is approximately
$5,000. DS Productions has indicated to us that the existing amplifier(s) can
accommodate the larger speakers.
3. Replace the current lavalier microphone with a better quality model at an approximate
cost of $1 ,400. Staff would like to defer the decision on this option until a new speaker
system is installed and the current lavlier microphone is tested with the new speakers.

RECOMMENDED ACTION:

Staff recommends that the Council consider the option of installing speakers on the walls at an
estimated cost of$5,000,
