. City of Arden Hills Staff Report

To:
From:
Item Title/Subject:

Honorable Mayor and City Council
Kenneth Gammell, Television Production Coordinator
Replacement of Computer Monitors

Introduction:

This report provides details for a proposed purchase of replacement computer
monitors in City Council chambers.

Discussion:

1. Backaround

.

In approximately the year 2003, eight of the computer monitors that reside within
the Presentation desk, Staff desk, and Council dais have sustained irreparable
damage. These damaged monitors have several lines on the screen that
obscure the image. It appears that the damage was caused by a power surge.
Two different engineers were brought in to assess whether the monitors could be
fixed. Both engineers said the monitors could not be fixed for less than it would
cost to purchase new monitors.

Since the replacement of all eight monitors would be a major expense, another
option would be to replace only five of the monitors that have severe screen
damage, and keep the three monitors that have only minor screen damage.

Although these monitors still function, there have been complaints that the
image on the screen is difficult to read, and that the lines are distracting.

3. Cable Budaet

The City of Arden Hills receives an annual Cable franchise fee, which comes
directly from cable subscribers, and includes no funds from the City's general fund.
This fund, which is approximately $54,000 for the year 2005, is designated for the
City's cable production needs. This would include the replacement of computer
monitors in Council Chambers.

.

4. Recommendations
The damaged computer monitors are all NEC 15 inch monitors. They can be
replaced by any brand name 15 inch computer monitor. The installation requires
simply detaching the existing monitor & cable and attaching a new monitor. For this
reason, the Cable Coordinator can install the new monitors without the need for
hiring a professional installer, saving installation costs.

There are two options in choosing a supplier for purchasing the monitors. One
option is to find the most compatible monitor at the cheapest price, despite the
supplier's location. The second option is to find the most compatible monitor from
