<br /> <br />MEMORANDUM <br /> <br />DATE: <br />TO: <br />FROM: <br />SUBJECT: <br /> <br />August 27, 2007 <br />Mayor and City Council I. ) <br />Michelle Wolfe, City Administrator [V0Il <br />Office Furnishings for City Hall, Second Floor <br /> <br />AGENDA ITEM: 4.D. <br /> <br />BACKGROUND <br /> <br />Several months ago, City Council authorized staff to proceed with recruitment of a Planner 1. On <br />tonight's agenda, staff is recommending the appointment of a new Planner I for the City. This <br />position is funded through the preliminary development with RRLD. <br /> <br />DISCUSSION <br /> <br />We do not have any additional office or cubicle space in City Hall for the new Planner I position. <br />In addition, we have had some interns and temporary positions that also need office space, and <br />we currently use a table on the second floor. With TCAAP redevelopment, staff anticipates the <br />need for additional office and cubicle space for the second floor. Ehlers and Associates will be <br />conducting a resource plan for the City, which will include a study of long-term staffing needs. <br />We have a $42,000 quote to furnish the entire upstairs with additional office and cubicle space. <br />However, until we have a better idea of our long term staffing plan, I do not recommend <br />proceeding with completely furnishing the second level. <br /> <br />We received two different quotes from Fluid Interiors. (This is the company that provided all the <br />original City Hall furnishings and did all the installation.) Both of the quotes include office <br />furniture and furnishings consistent with the rest of City Hall. The first quote is for one cubicle <br />($7,037.79). The second quote is for two cubicles, for a total of $12,938.70. The cubicles are <br />modular and can be moved and rearranged when we add additional offices and/or cubicles to the <br />second level. <br /> <br />I recommend that we proceed with installing two cubicles, one for the Planner I position, and the <br />other for interns, temporary employees, and others who need work space. It is further <br />recommended that the first cubicle cost of$7,037.79 be funded via the Preliminary Development <br />Agreement, which included $75,000 for the Planner position. The balance (approximately <br />$5,900) would be paid from the General Fund. I am requesting up to $15,000, but I am hopeful <br />that the actual cost will come in close to the submitted quote. <br />
