<br />that allow people to draw or write directly onto the screen and interact with such programs as <br />PowerPoint, Excel, and Word. Anything that is drawn on the smart board screen can be saved <br />into the program that is being used and/or the screen can be printed. <br /> <br />When used in the Council chambers, whatever is drawn on the smart board screen would also <br />show up on the large built-in projection screen, each of the monitors at the Council and Staff <br />desks, and can be broadcasted out to residents. The smart board screen also acts as a backup <br />television that can be used during overflow times in the Council chambers. Because of its <br />mobility and flexibility, Staff feels that it would be an excellent tool for many different types of <br />uses and meetings. <br /> <br />Sympodium ID350/ID370 <br /> <br />The Sympodium is a stationary smart board device that would be built into the existing computer <br />desk in the Council chambers. A staff member could then draw on the monitor at the computer <br />desk and whatever is drawn would show up on the large screen, each of the monitors at the <br />Council and Staff desk, and can be used on the meeting broadcast. The stationary smart board <br />can also work in tandem with the large rolling smart board. For example, during a meeting, both <br />smart boards can be used and whatever is drawn or written on one screen would show up on both <br />smart boards and all other computer screens. Staff feels that the Sympodium smart board <br />product would be especially helpful for Staff during Planning Commission and Council <br />meetings. The Sympodium has all of the functions as the large rear projection screen, but its <br />smaller size makes it easier to use for Staff during meetings while at the computer desk. <br /> <br />Cable Fund <br /> <br />This purchase was not included in the 2007 Cable Fund Budget and a budget amendment will be <br />required. The Finance Director reviewed the Cable Fund, and there was a $252,000 fund balance <br />as of December 4,2007. She indicated that the Cable Fund can support the purchase without any <br />adverse impacts to the Fund. The draft 2008 budget had initially included money for this <br />purchase; however, that has been removed from the 2008 budget since the 2007 budget can <br />support the purchase. <br /> <br />The quoted cost for the two smart board screens and training is $15,868.23. Since this is a new <br />type of technology for City Hall and since the Roseville tech team does not have much <br />experience with troubleshooting smart board technology, Staff is also recommending purchasing <br />the maintenance plan for $600. <br /> <br />Recommendation <br /> <br />Staff recommends approving the purchase of smart boards and a maintenance plan from Tierney <br />Brothers, Inc for an amount not to exceed $16,468.23 from the Cable Fund <br /> <br />\\Metro-inet,us\ardenhillslAdminITechnologyISmart Board\121007 - CC Report - Smartboard,doc <br />Page 2 of3 <br />
