Staff is recommending the purchase of two "smart board" products for use at City Hall.
Informational sheets explaining each ofthe products is attached; however, a smart board is an
interactive computer screen that allows a person to "write/draw" on and interact with programs
displayed on a computer screen. For example, during a Planning Commission meeting, the plans
for a development could be displayed on the big screen TV (a rear projection smart board), and a
person could draw on the screen to show changes on the plan or to illustrate an idea or comment.
Or, during the budgeting process, the screen could be used to show budget numbers and interact
with them on a large spreadsheet on the computer screen. Staff anticipates many different types
of uses for all departments.
There are a number of different types of smart board products, and Staff is recommending two
specific types for use at City Hall. The first product is a rolling interactive big screen rear
projection TV and the other is a stationary smart board for use at the computer desk in the
Council Chambers.
Rear Projection SMART Board 2000i
The rear projection screen would connect to the City's existing computer system and network.
The screen is mounted on a rolling cart and could be used in any City Hall room (the elevator is
large enough to move it up and down between floors). The screen comes with electronic pens

that allow people to draw or write directly onto the screen and interact with such programs as
PowerPoint, Excel, and Word. Anything that is drawn on the smart board screen can be saved
into the program that is being used and/or the screen can be printed.
When used in the Council chambers, whatever is drawn on the smart board screen would also
show up on the large built-in projection screen, each of the monitors at the Council and Staff
desks, and can be broadcasted out to residents. The smart board screen also acts as a backup
television that can be used during overflow times in the Council chambers. Because of its
mobility and flexibility, Staff feels that it would be an excellent tool for many different types of
uses and meetings.
Sympodium ID350/ID370
The Sympodium is a stationary smart board device that would be built into the existing computer
desk in the Council chambers. A staff member could then draw on the monitor at the computer
desk and whatever is drawn would show up on the large screen, each of the monitors at the
Council and Staff desk, and can be used on the meeting broadcast. The stationary smart board
can also work in tandem with the large rolling smart board. For example, during a meeting, both
smart boards can be used and whatever is drawn or written on one screen would show up on both
smart boards and all other computer screens. Staff feels that the Sympodium smart board
product would be especially helpful for Staff during Planning Commission and Council
meetings. The Sympodium has all of the functions as the large rear projection screen, but its
smaller size makes it easier to use for Staff during meetings while at the computer desk.
Cable Fund
This purchase was not included in the 2007 Cable Fund Budget and a budget amendment will be
required. The Finance Director reviewed the Cable Fund, and there was a $252,000 fund balance
as of December 4,2007. She indicated that the Cable Fund can support the purchase without any
adverse impacts to the Fund. The draft 2008 budget had initially included money for this
purchase; however, that has been removed from the 2008 budget since the 2007 budget can
support the purchase.
The quoted cost for the two smart board screens and training is $15,868.23. Since this is a new
type of technology for City Hall and since the Roseville tech team does not have much
experience with troubleshooting smart board technology, Staff is also recommending purchasing
the maintenance plan for $600.
Recommendation
Staff recommends approving the purchase of smart boards and a maintenance plan from Tierney
Brothers, Inc for an amount not to exceed $16,468.23 from the Cable Fund

When Tierney Brothers, Inc. integrates a solution for your equipment needs, we not only supply the product, we supply quality installation and service.
Bronze Maintenance Plan Designed for:
City of Arden Hills
Included in your Bronze Maintenance Plan, you will receive one preventative maintenance check, along with one non-scheduled service call per
contract period.
The preventative maintenance check will be scheduled to evaluate, test, and clean all of the equipment included in your system. Preventative
maintenance on your system/room can prolong the life of your equipment.
Your bronze maintenance plan includes one non-scheduled service call within the contract period, Our technicians will evaluate the problem and
complete repairs on site if possible. If any parts are required to repair your equipment, an estimate of product pricing will be given before work begins,
Under certain circumstances, equipment may need to be brought back to our facility for repair,
Terms and Conditions
/f any equipment, cabling or accessories are physically damaged from accidents, natural disaster, misuse, abuse, or attempt to selVice by a
non-qualified technician, or if it does not match the as built drawings, it will be void from coverage. Under these circumstances it will be the customer's
financial responsibility for repair or replacement. Additional charges for lift rental or other supplemental equipment wifl apply if such equipment is
required for equipment access, If the selVice technician detennines the problem is the result of user error, rather than equipment malfunction,
additional charges may be applied.
All manufacturer warranties covering paris and labor wifl be honored under this maintenance contract. Products outside of manufacturer warranties
that are in need of repair will receive labor at no charge and 10% off parts.
System installations carry a warranty for a period of 90 days. Maintenance contract effective dates will begin 91 days from invoice date and last for
12 months. If maintenance plan is written for an existing room, contract invoice date is 'effective date of contract.
Preventative maintenance checks cover all equipment from the original installation or all equipment installed in the room(s) at the start of maintenance
contract.
The maintenance plan is limited to our local service area. If any of the equipment or system components are removed from the premises, they will
become void of coverage and become the financial responsibility of the customer if damage occurs.
If the selVice plan is written for a system outside a 100-mile radius from Tierney Brothers, Inc. there will be a mileage / trip, and per-diem charge per
call. Special contract stipulations may be written up on an individual basis.
SelVice and siJppori is limited to Monday through Friday, 8;00 AM to 5:00 PM central standard time, excluding national holidays.
