There is a need to have an employee cover the Park <br /> and Recreation meetings, do minutes and help develop the park <br /> programming. <br /> Mr. March suggested option F would be to create a new position. <br /> Councilmember Brenner stated for immediate office support, <br /> perhaps a part -time receptionist would fulfill the need. Mr. <br /> March felt a part -time receptionist, an intern and expanding the <br /> duties of the Deputy Clerk would serve the administration <br /> personnel needs. Councilmember Powers consented to a part -time <br /> receptionist and an intern. However, Councilmember Powers <br /> hesitated to authorize expanding the duties of the Deputy Clerk <br /> without further information. Councilmember Helmbrecht felt <br /> comfortable with Mr. March's recommendations. Mr. March <br /> commented one way to satisfy the current employee needs is to <br /> increase the Deputy Clerk's responsibility and increase that <br /> grade. <br /> Mr. Palzer noted he observed several disruptions in the front <br /> office because of servicing the window or answering the phones. <br /> Therefore, he suggested voice mail boxes in the office. Mt. <br /> March commented the City should aximize technology. Ms. Gaustad <br /> mentioned recently she researched the cost associated with the <br /> voice mail box and this may be a viable solution. <br /> Councilmember Brenner questioned Mr. March as to what will the <br /> grade increase be for option D with the increase of <br /> responsibilities. Councilmember Brenner felt okay with option D. <br /> Councilmember Helmbrecht requested Mr. March's recommendation. <br /> Mr. March suggested to eliminate staffing options B, and F, and <br /> to implement options A, C, D and E. Councilmember Powers <br /> requested to have Staff examine professional financial services <br /> and its advantages and disadvantages, prior to implementing <br /> staffing option D. Councilmember Powers requested Staff place in <br /> writing, how the City plans to put monies to'work for the City <br /> and how to eliminate current or potential problems. <br /> Councilmember Powers moved and it was seconded to authorize Staff <br /> to hire mart -time receptionist and an intern Motion carried <br /> unanimously. <br /> Councilmember Helmbrecht moved and it was seconded to authorize <br /> Mr. March to explore option D to expand the Deputy Clerks lob <br /> 6 <br />
