CITY OF CENTERVILLE <br />PARKS AND RECREATION COMMITTEE <br />DRAFT <br />COMMITTEE EXPECTATIONS AND PROCEDURAL GUIDELINES <br />BACKGROUND INFO <br />Meeting Night -15t Wednesday of the Month — 6:30 PM <br />7 Person Advisory Committee <br />EXPECTATIONS OF CITY STAFF <br />• Work with Council Liaison and Committee Chair to Formulate Agenda <br />• Prepare Agenda Packets with clear, concise information <br />• Send Agenda Packets by EOD Thursday, prior to meetings via email and post to website; use <br />preferred email addresses for Committee Members <br />• Have paper copies of the agenda available for members and visitors <br />• Have meeting room prepared <br />• Have at least one staff member present at each meeting unless it has been discussed with the <br />Chair and Liaison that there will not be a staff member present <br />• Use video board to display packet material or to pull up additional information, etc. <br />EXPECTATIONS OF COMMITTEE MEMBERS <br />• Attend all meetings; inform city staff of absences in advance, if possible <br />• Read agenda packet prior to the meeting <br />• Ask questions of city staff if there are items in the agenda packet that are unclear <br />• Participate in discussion <br />• Follow meeting procedural rules; avoid side conversations, keep comments on topic, etc. <br />This document is just a draft and we hope that it will spur conversation on ways to help the <br />committee operate more efficiently. We are eager to add, subtract, or modify items from the lists. <br />
