May 17, 2001
Communications Ad Hoc Committee Meeting Minutes
that The Quad and the Hugonian were the two (2) largest viewership areas available.
Committee Member Fairbrother stated that Mr. March agreed to e-mail the Week In
Review to residents who requested same. Consensus was that in the interim, e-mails to
residents and announcements to The Quad would be utilized to communicate with the
residents until the survey results are received.

Discussion ensued regarding the willingness and availability of Staff to draft something
to be printed in The Quad. Chair Brenner stated that the City would be hiring an intern
this summer, which may allow Staff to summarize Council meetings that can be
forwarded to the two (2) local papers. Consensus was that Council would need to
determine what information would need to be released to the papers and Staff would need
to draft and forward same. Chair Brenner suggested adding a Communications item on
Council's agenda allowing Council to determine their communication desires for that two
(2) week period and Staff would draft and forward same to the paper. Chair Brenner
stated that she would attend the next Council meeting to recommend same.

Chair Brenner questioned the Committee's desire to invite Ms. Katherine Kerry to a
meeting or should the Committee wait for the results from the survey. Consensus was to
wait for the results. Discussion ensued regarding the web site information, such as the
ease of changes, etc. Chair Brenner questioned whether she should obtain Media
Junction to speak at their next meeting. Consensus was that the use of the web page
would be critical in determining the components of the Laser Fiche system.

It was determined that June 4, 2001 would be the Committee's next meeting. Chair
Brenner stated that the League of Minnesota Cities would be holding their annual
conference in Duluth, Minnesota on June 19-22, 2001 and she had spoken with Mayor
Swedberg who stated that the City would be willing to send a Committee Member to
participate in same. Chair Brenner stated that the League would be focusing several
sessions on the League's web site software for cities.
