Centervi([e, 9r'l.:N 5.5038 <br />651-429-3232 or Pa:.:( 651-429-8629 <br /> <br />June 17,2005 <br /> <br />Dear Mayor and Council <br /> <br />I am attaching the cost breakdown of the technology improvements to implement GIS <br />(Geographic Information System) and Laserfiche Document Imaging and Records <br />Management. <br /> <br />The City has budged $25,000 in capital improvements for computer improvements for <br />2005 in the General Fund. That amount together with a contribution from each of the <br />utility funds will provide the money needed to complete the recommended project. I am <br />suggesting that we do additional work in 2006 which will be primarily adding the Web <br />access portion ofLaserfiche and purchasing the ortho-photography and topography maps <br />from Lino Lakes. If we did nothing beyond what is proposed for 2005, we would have a <br />very good system, but the Web feature would be especially useful. <br /> <br />We will need to budget for the support and software maintenance in the future and would <br />budget some additional part-time hours for scanning in archive records. <br /> <br />The staff is united in recommending that we proceed with this project. The benefits are <br />many, but will include better management and access to city records. The information <br />will be readily available to more people, and thus we will be less dependent upon one or <br />two people who may be the only ones that know where certain information is located. <br />This will especially useful as employees come and go in the future. An additional benefit <br />will be that the server will be upgraded now, those costs would have been necessary in a <br />couple of years anyway.
