Memorandum
DATE : November 19, 1999
TO : Honorable Mayor and Council
FROM: Jim March
RE : Microsoft Office Suite 2000
************************************** ** * * * * * * * * * * * **** * * * * * * * * * * ** **
Included in your packet is a research memo that I asked Diane to prepare after
discussing the topic of e-mail, web hosting and additional software. Diane has
proven to be a great asset to the City with her superb software knowledge and
computer proficiency. Diane currently maintains and updates eight websites in her
spare time.
Diane has prepared a comprehensive analysis for Council review. I concur with
Diane's findings that the City should authorize switching to MTN for internet access
and web hosting. Diane has a good working relationship with the staff at this facility
and this switch will save approximately $650 /year.
Diane has also provided an analysis on the benefits of adding Microsoft Office to the
software that is used by the City. Diane has permission from the City of Stillwater to
transfer many of the databases she constructed to the City of Centerville. This will
save countless hours of staff time in creating these databases. The addition of
Microsoft Office, a scanner and Omni Page OCR will also allow the City to archive
old documents on CD -Rom. Diane also has the expertise to train existing staff in the
use of this new software. I would recommend that Council authorize the purchase of
the items as outlined in the attached memo to enhance customer service. I am
convinced that the benefits will outweigh the costs in this matter.
