Department Approval
MEQUEST FOR, COUNCIL ACTION
Date: 3/17/20OV,
Item No.: 7.h
City Manager Approval
A
Item Description: Approve Contract Extension with Greenhaven Printers
BACKGROUND
2 The City of Roseville communicates news of use and importance to residents through a variety of
1)
15 media. The main communication tool is the resident newsletter the "Roseville City News" (formerly
44 known as "The Roseville Wrap" and "Roseville Newsletter") . Roseville has been publishing a resident
5 newsletter since 1967. The four-page, broadsheet (I I x 17) newsletter is mailed to every resident and
E,,,, business with a Roseville mailing address for a total of 16,700 copies.
At its March 28, 2005 meeting the council unanimously approved a three year contract with
Greenhaven Printing for graphic design, printing and mailing of the newsletter. Greenhaven Printing,
0 1995 County Road B-2 in Roseville, has 39 years of printing experience and operates on modern, high
quality printing presses. It also has an in-house mailing department which provides cost efficiencies.
2 Designer Jane Halbert has redesigned the newsletter giving it a more contemporary appearance.
Greenhaven was able to improve the newsletter and save the city more than a thousand dollars an issue.
Z FINANCIAL IMPACTS
5 Roseville currently pays $3,775.38 to print each issue of the City News. This bid was significantly
lower than any other printer that bid in 2005. Greenhaven has offered to extend the contract for two
7 years at an increase of $300 an issue. The increase would be due to the approximate 15-20% increase in
the cost of paper. In the 2005 bidding the second place bidder was approximately $500 an issue more
expensive than Greenhaven. So rebidding would not guarantee that we would realize any cost savings.
20 REQUESTED COUNCIL ACTION
2 A motion authorizing the City Manager to execute a two year contract extension with Greenhaven
22 Printing, located at 1995 County Road B-2 in Roseville, for printing of the Roseville City News at a
2 cost of $4,075.38 an issue.
Prepared by: Tim Pratt, Communications Specialist
Page I of I
