This <br /> includes risks and potential mitigation to the risks. <br /> w <br /> Identify client responsibilities. <br /> w <br /> Identify any RF|e that the Respondent may have. <br /> w <br /> Listen to concerns, issues, and comments from the stakeholders. <br /> w <br /> Propose a schedule to complete the Clarification Phase and the contract <br /> documents. <br /> Once the Clarification Phase Kick-off Meeting is he|d, and if the City is comfortable with <br /> the Respondent's proposal, the Clarification Phase begins. The Respondent will be <br /> required to complete the following: <br /> w <br /> Revisit the eite/bui|dinge/oarnpueto do any additional investigating. <br /> w <br /> Coordinate with all parties that will be involved with the project. <br /> w <br /> Resolve concerns and issues they have with mitigating actions. <br /> w <br /> Finalize the Clarification Phase Documents (contract, VVRR, milestone schedule, <br /> RMP. project eoope.) <br /> Clarification Phase Documents <br /> The final Clarification Phase Document must include the following: <br /> w <br /> Finalized scope documents <br /> w <br /> Risk Management Plan (RMP) <br /> w <br /> Milestone schedule <br /> w <br /> Weekly Risk Report format (VVRR) <br /> w <br /> Project financial summary. <br /> • The Respondents Original Project Cost <br /> • A list of agreed/accepted Value Added Options (with impact to cost) <br /> • A list of agreed upon Scope Changes or Additional Work (if applicable) <br /> (with impact to cost) <br /> w <br /> Complete detailed project or services schedule. <br /> w <br /> Project action item checklist of client actions. <br /> w <br /> Project and emergency contact list. <br /> Clarification Phase Summary Meeting <br /> The Clarification Phase Summary Meeting is held at the end of the Clarification Phase <br /> and is used to present a summary of what was developed and agreed upon during the <br /> Clarification. The Clarification Phase meeting is not a question and answer session. All <br /> coordination and planning with the client should be done prior to the meeting. <br /> The Respondent should give a preeentation, which vva|he the City through the entire <br /> project and summarizes all of the coordination and planning done during the Clarification <br /> Phase.
