Parks and Recreation Department To: Mayor, City Council Members and City Manager William Malinen From: Lonnie Brokke, Director of Parks and Recreation Date: December 15, 2008 Re: Master Plan Price Ranges At the November 17, 2008 City Council meeting authorization was given to issue a Request for Proposals (RFP) to update the Parks and Recreation System Master Plan. Based upon pre RFP meetings, the cost of the project was estimated to be $150,000. th You asked that actual proposal numbers be provided to you at your December 15, 2008 meeting. th On November 19, 2008 the RFP’s were issued to (13) known qualified firms. The proposals were due on December 12, 2008 and (9) proposals were received. Interviews have not been conducted and the proposals have not been reviewed in great detail. Some proposals did provide a clearer “not to exceed” amount than others. The majority of the proposals were in the price range of $125,000 - $150,000, however there were (3) outside that range with (2) being lower and (1) being higher. All proposals were subject to some interpretation and will be sorted out during the evaluation, interview and pre-award process. A lot of analysis still needs to be completed; the next steps in the process will be to: Interview all or some firms to discuss their proposals, costs and approaches in detail. Solicit advice and input from the Parks and Recreation Commission. Bring back to the City Council for consideration. Thank you and if you have any questions, please contact me.
