Department Approval <br />�-��-, �------ <br />��� <br />� <br />REQUEST FOR COUNCIL ACTION <br />Date: November 16, 2015 <br />Item No.: 8.d <br />City Manager Approval <br />Item Description: Authorization to Enter into Lease Agreement for Storage Space at 1944 <br />West County Road C <br />BACKGROUND <br />With the demolition of the Hagen Building the City is losing space it has been using to store <br />seasonal equipment, supplies, vehicles, etc. Both the Public Works department and the Parks and <br />Recreation department were storing items here. Also, the Roseville Historical Society had been <br />operating out of this space. <br />The Hagen building has been emptied. Some of the items were temporarily moved to the <br />Fairview Fire Station and some items were temporarily moved to the maintenance facility yard. <br />The Historical Society is now operating out of the Fairview Fire Station. <br />While we have made the necessary moves, leaving the equipment in the maintenance yard <br />restricts our ability to move items around as is necessary during normal operations and also <br />leaves the equipment and materials exposed to the elements. <br />City staff performed a space needs survey and determined a short term need of about 2500 to <br />3000 square feet of indoor storage space. <br />Staff searched available lease space and found an available space with 2,700 square feet of space <br />at a site located at 1944 West County Road C, across County Road C from Walmart. Staff <br />worked with the owner to negotiate a lease rate of $18,222.60 per year. We are proposing a three <br />year lease term. <br />� This indoor space will allow us to store seasonal equipment in an indoor, protected area that will <br />� allow us to protect the equipment and extend its useable life. During this three year period staff <br />� will have discussions with the Council about long term storage needs for both the Public Works <br />� department and the Parks and Recreation department. <br />FINANCIAL IMPLICATIONS <br />The majority of the items proposed to be stored at this facility will be equipment and supplies <br />necessary for the maintenance of the City's water, sewer and storm water facilities. Therefore, <br />staff proposes to use funds equally from the respective utility funds for these assets. <br />Approximately $6,400 from each utility fund will be used annually for this space to account for <br />the lease cost and utilities. <br />Page 1 of 2 <br />
