Roseville Parks & Recreation Commission
Agenda Item

DATE: May 7, 2024 ITEM: 4.b.

ITEM DESCRIPTION: Parks and Recreation Management Software Request for Proposal Update

Background
Recreation management software (RMS) is the data management system that the city uses to organize
programs, schedule facilities, and manage finances. Most notably, the RMS system is the interface that
community members use to review program offerings online, register for a program online, or reserve a
facility online. Additionally, the RMS system allows staff to create class lists, schedules, facility permits, and
much more. This is significant as nearly 90% of Roseville's program participants register online.

RMS systems can also be a key tool for tracking participant demographics, marketing, and overall programs
and services.

The City of Roseville currently uses Active.net for its RMS software needs, and has done so since 2005.
Increasingly, both customers and staff have discussed the need to review what RMS options are available
for the City and to consider whether there is a product that can improve the customer experience, and
possibly reduce the cost of program administration.

The 2024 Capital Improvement Program includes funds for the Parks and Recreation Department to
purchase a new RMS system, or update the existing system.

Staff will briefly present information about recreation management software and solicit feedback on a
proposed upcoming request for proposal process to update the RMS.

Recommendation
Receive the presentation and provide feedback.

Attachments
None

Qbhf!31!pg!47
