<br />2. Update, Printing and Distribution <br /> <br />. Copy the pages to be updated into a \pages_to_update directory within the <br />\miscellaneous\2003_update folder. Highlight the changes that are to be made on the <br />extract pages and use annotations and notes to indicate what requires attention. <br />(Done) <br />. Copy master document that has been stored as a backup in \2002_update to <br />\comprehensive plan CD directory. <br />. The actual version to update is a copy of the 2002 Plan that has been stored in \master <br />digital file\2003 update as rvcp2003.pdf. This document will use the inserted final PDF's <br />from within each of the individual chapters <br />. Print major changes only for review by PC and CC (in progress) <br />. Upon approval by CC, then convert all inserts into PDF <br />. Insert only the appropriate pages iflto PDF within the \2003 updates folders into the <br />new master document. This will ensure that any links on pages not to be changed will <br />remain. The chapter documents that have changed will be stored within the \2003 <br />updates folders for each chapter and it is these that can be used for subsequent future <br />updates (even though only several pages may actually be used from the latest <br />document - e.g. "Introduction 00" to be saved as "Introduction 01" in the \2003 <br />updates folder. Update the footer only in the file and extract onlv those pages that are <br />to be updated within the document. Then restore any links as needed.) The resulting <br />footers in the document will read "1999 Updates" for the majority of pages and then <br />"2000" or "2001" and so on over the coming years. <br />. Store new pages using "print current page" or range and store as "Introduction 01 page <br />12.pdf" for example. <br />. Run text search capability on all new PDF pages that were scanned. These are within <br />each of the \2003 update directories and must be completed prior to inserting them <br />within the master document. <br />. Replace / insert new PDF pages into Digital Comprehensive Plan Master Copy. Note that <br />when inserting pages, use the "Highlight text tool" to markup the old pages for <br />deletion. <br />. Update all links and bookmarks in PDF <br />. Cut new CD's with new labels <br />. Update distribution list to CC, PC, staff, Met Council - both CD and printed versions <br />. All new maps to be put onto web site where appropriate <br />. When new Master document is completed, and a backup has been made, then create <br />new individual chapter extracts and place direct IT staff to place on city web for <br />downloading <br />.
