����� <br />March 21, 2005 <br />Item: 11. <br />Item Description: <br />Format for Community Town Hall Meetings <br />I. BACKGROUND <br />This Council has agreed to hold two Community Town Hall meetings this year on April l l, <br />2005 at the National Guard Armory and Apri125 at the Central Park Elementary School. <br />��. RECOMMENDED FORMAT <br />With the exception of the public notice provision, I recommend the format the Council <br />followed last year. Hence, I recommend the following features: <br />� Notice of these Council meetings and an invitation to attend is provided by an 8x11 <br />insert in the Roseville Review, as well as NewsFax articles, Cable Channe116 screens, <br />and notice on the City's website. <br />� The Counciil meeting is cablecast live or videotaped for later cablecast if the facilities <br />are inadequate for live cablecasting. <br />• Informational displays about City programs and activities are set up where convenient <br />and staffed by Department Heads. <br />• The first 30 minutes of the meeting consists of informal conversation among <br />Councilmembers, Community members, and staff. <br />* The Council then meets in formal session and transacts necessary City business. <br />* The Council receives formal public comment from residents about city issues. <br />• Department Heads are present to respond, if necessary and appropriate, to questions <br />raised by residents. <br />+ Following the transaction of all necessary business and receipt of all public comment, <br />the meeting is adjourned but Councilmembers and staff remain for more informal <br />conversation with residents. <br />• Public comment forms are available before, during, and after the meeting for any <br />resident to use; these comments are tabulated and shared with the Council. <br />III, COUNCIL DIRECTION <br />Is the recommended format acceptable or does the Council prefer some different format? <br />
