REQUEST FOR COUNCII, ACTION <br />Department Approval: <br />CJLJ <br />Item Description: Notification <br />1�Tanager Reviewed: <br />� i � , � � /'. <br />Policy Discussion. <br />DATE: 9/10/0 1 <br />ITEM NO.: J-Z <br />Agenda Section: <br />Ordinances/Resolutions <br />Background: At the 7uly 16, 2001 work session, we had a discussion regarding Public <br />notification for projects within the City of Roseville. Staff has worked on a draft policy for <br />review by the council. The hardest part about pulling this policy together was to draft general <br />practices that apply for all projects. <br />Financial Implications: Additional mailings to neighborhoods surrounding projects do have <br />added City costs both in printing and postage as well as staff time addressing additional questions. <br />For a normal street reconstruction proj ect, Engineering Staff estimates that for a 100 piece <br />mailing the cost would be $32.00 for postage plus a material cost of $15.00. There would be <br />appro�mately one hour of staff time for preparing the mailing at $25/ hr. We estimate that for <br />every 100 piece mailing we receive appro�mately 30 follow-up phone ca11s (5 to 10 minutes <br />each), and about 10 site visits (45 min each + mileage). The staff time for these follow-ups would <br />be at a rate of $50/ hr =$562.50 + mileage. The average 100- piece mailing would cost the City <br />$634.50 or approximately $634 each piece. The cost estimate does not include staff preparation <br />time for meetings, including e�ibits, and presentation. We figured that that time remains the <br />same no matter how many people are informed of the project. <br />RECOMMENDED COUNCIL ACTION: <br />Provide feedback regarding Notification Policy. <br />Prepared by: Debra Bloom <br />
