AGENDA ITEM

MEMORANDUM

DATE: April 29, 2013

TO: Honorable Mayor and City Councilmembers

FROM: Patrick Klaers, City Administrator
Amy Dietl, Deputy Clerk

SUBJECT: Consider the Purchase of a Large-Format Printer/Copier/Scanner

Budgeted Amount: Actual Amount: Funding Source:
$10,000 $7,120 $3,560 Equipment, Building
& Replacement Fund
and
$3,560 Cable Fund

Background

The City does not currently have a large-format printer/copier/scanner. Until June 2012 (which
is when the City discontinued the City of Roseville Engineering contract), the City of Roseville
provided for our large-format printing/copying/scanning needs. Since that time, staff has relied
on Ramsey County, or other businesses such as Kinkos, for those needs.

A large-format printer/copier/scanner is needed for printing full-size construction plans, printing
address maps, copying large-format maps, scanning as-builts, scanning other large format paper
copies such as building department plans for archiving purposes, and printing posters for
activities and events.

In the past, the City has outsourced its large-format scanning needs to Cities Digital. Since one
of the 2013 work plan goals for staff is to scan and organize files currently in storage, having a
large-scale scanner located on-site would be a valuable tool for achieving that goal.

Funding for this project was included in the budgeted amount of $10,000 in the CIP for
Equipment/Building Replacement. Since this device will be used for scanning large-scale
documents into LaserFiche for records retention purposes as well as being available for public
, it is appropriate for half of the funding for this
project to come from the Cable Fund.

12
Page of
