<br /> <br />MEMORANDUM <br /> <br />DATE: April 29, 2013 <br /> <br />TO: Honorable Mayor and City Councilmembers <br />Patrick Klaers, City Administrator <br /> <br />FROM: John Anderson, Assistant City Engineer <br />Meagan Beekman, City Planner <br />Michelle Olson, Park & Recreation Manager <br /> <br />SUBJECT: Large-Format Printer/Copier/Scanner <br /> <br /> <br /> <br />Public works <br /> <br />Public Works has a need for this piece of equipment and can utilize it in a number of ways. The <br />large format printer/copier/scanner can be used to print large format plans generated in Arcview <br />and Autocad as well as print plans that have been scanned. These plans include copies of <br />existing asbuilts that have been previously scanned, city engineering projects such as the 2013 <br />PMP, and Address maps which have not been updated since 2010. Changes to many of these <br />maps are constant and currently staff is relying on outdated paper copies of these maps. As <br />development occurs there is a need for revisions to be printed. For example the Fox Ridge <br />es of these maps. Additionally the <br />ability to scan large format documents will aid in our efforts to modernize record keeping. <br />Public works is in the midst of creating a digital storage and retrieval system that will allow our <br />staff to locate records very quickly even while working in the field. As we work through this <br />process, we are constantly identifying paper copies of records that need to be stored in a digital <br />format to allow for retrieval. Currently as we identify these records we have been paying an <br />outside source to scan the documents and provide a digital copy. <br /> <br />Community Development <br /> <br />Community Development has identified a number of needs that can be addressed through the <br />purchase of this piece of equipment. Cities Digital charges $1.50-$2.50 per page to scan large <br />sized documents. At the time Laserfiche was installed the City paid Cities Digital to scan some <br />plan sets, but primarily had them scan smaller documents. As a result very few plan sets have <br />ever been scanned. The City continues to store these and older documents continue to <br />deteriorate in quality. Having the ability to scan these items in-house would improve records <br />retention and open up storage space. <br />12 <br />Page of <br /> <br />
