(HGA) is pleased to submit to the City of Arden Hills, Minnesota <br />(Client) this Letter Agreement to provide professional services for City Hall Assessment and TCAAP Civic <br />Site Conceptual Design, located in Arden Hills, Minnesota. We are providing you this Agreement to assure a <br />clear understanding of this engagement and our mutual responsibilities. <br /> <br />SCOPE OF BASIC SERVICES <br /> <br />Based upon our understanding of the Project, HGA will provide the following services: <br /> <br />1. Provide life cycle and maintenance assessment of the existing City Hall facility. <br />2. Engage the community on the TCAAP portion of the Project. <br />a. Attend three public open house meetings. <br />b. Attend up to three meetings with the Civic Site Task Force (CSTF). <br />c. Provide up to three presentations to the Arden Hills City Council. <br />3. Provide conceptual design for the TCAAP site. <br />a. Select and refine a single scheme. <br />b. Provide construction cost estimates for the selected scheme. <br />4. Compile building assessment, community engagement information, conceptual design scheme and <br />construction cost estimates into a report. <br /> <br />Please carefully review the Scope of Basic Services listed above to be sure that it is accurate and that there are <br />no items or services omitted. <br /> <br />ADDITIONAL SERVICES <br /> <br />HGA may be requested by the Client to provide Additional Services or the services of Outside Consultants, <br />as necessary, which are in addition to the Basic Services provided for in this Agreement. If HGA is requested <br />to provide such Additional Services, the Client shall compensate HGA for these services on an Hourly Rate <br />basis of 2.5 times the Direct Personnel Expense (DPE) of HGA’s personnel providing the services and/or <br />1.2 times the cost to HGA of any consultants providing the services plus Reimbursable Expenses, unless <br />mutually agreed upon. These terms are defined below, and such compensation will be over and above any <br />maximums set forth in this Agreement. Additional Services may include, but are not be limited to, the <br />following: <br /> <br />1. Alternate 1 – Provide space needs assessment of Arden Hills existing public works building ($1,900)
