CONSENT ITEM – 7D

MEMORANDUM
DATE: April 22, 2019
TO: Honorable Mayor and City Councilmembers
Dave Perrault, City Administrator
FROM: Gayle Bauman, Finance Director
SUBJECT: Springbrook Software and Server Upgrade
Budgeted Amount: Actual Amount: Funding Source:
$10,000 $10,370 Technology Fund

Council Should Consider
Approval of Springbrook software upgrade from Progress to Microsoft SQL and purchase of SQL
Server License and Client Access Licenses.

Background
The server that hosts our financial software package (Springbrook) is at end of life and needs to be
replaced this year. This necessity has opened the door for the City to upgrade Springbrook from
its current Progress platform to the Microsoft SQL platform. One of the benefits of switching to
the Microsoft SQL platform is that the City will be better able to utilize the Crystal Reports program
to extract data from Springbrook which will bring many more efficiencies to the Finance
department. Currently staff cannot run Springbrook and Crystal Reports on the same computer and
we will lose the ability to utilize Crystal Reports by the end of 2019 if we don’t upgrade.

There was $30,000 budgeted in the Technology Fund in 2019 for computer and network device
replacements. An analysis of what has been spent to date and the needs for the remainder of 2019
show that there is at least $10,000 available for this project.

Attachments
Attachment A: Quotes from Springbrook and Roseville IT
