plug and play approach. We are recommending keeping the existing projector. The projector <br />in place is functional. Keep in mind, the bulbs for the projector will become more costly and <br />eventually be discontinued as technology trends change. If upgrading the projector is of <br />interest, we can recommend video walls, which can be built to the size of the projector. We <br />can prepare more research in this area. <br /> <br />Since we are updating the signal source to high definition, we need to ensure the other video <br />sources have the same resolution, which is why it is necessary to update the presentation <br />side of the equipment. <br /> <br />We did not recommend a document camera because it is rarely utilized. <br /> <br />The audio equipment has room for updates. Although the equipment in place is in good <br />working order, and can be utilized in the new integration, the City may want to consider <br />updating it. Related to the microphones on the dais, the proposed microphones have <br />mechanisms that eliminate cell phone interruption in the signal, which will create a cleaner <br />sound. If we retained the current audio set up, that would be a cost savings of $2,500. <br />Related to the wireless microphone, beginning in July, we will not be able to utilize certain <br />radio waves as they will be privativez. The new wireless microphone would be on a different <br />wavelength. Finally, the Personal PA pack system is an assistive listening device. We would <br />recommend adding this for inclusiveness for meeting attendees with listening difficulties. <br /> <br />Related to supplies, this is an approximate calculation to cover necessary cabling, <br />connectors, and mounts. <br /> <br />Related to installation, this is the approximate cost for 200 hours of cable technician and 90 <br />hours of project management, design, and integration. <br /> <br />4. Tentative Timeline <br /> June 3rd - Final design, cost, and contract. <br /> <br />July 8th - Approximate date for equipment delivery. <br /> <br />July 17-26th - Installation dates that would have the least impact on the meeting <br />schedule. <br /> <br />July 30th - Final walk through and sign off on the project. <br /> <br />
