Position Title: <br />Department: <br />Accountable to: <br />Positions Supervised <br />Status: <br />I't <br />­ARZEN___H1LLS <br />CITY OF ARDEN HILLS <br />POSITION DESCRIPTION <br />Office Support Specialist <br />Public Works <br />Public Works Superintendent <br />None <br />ular Full Time <br />Attachment B <br />September 2019 <br />PRIMARY OBJECTIVES <br />Performs intermediate skilled administrative support work including a variety of routine and complex clerical and <br />administrative/office support assistance, and related duties as apparent or assigned primarily for the Public <br />Works Department (this department includes, but is not limited to, street maintenance, utilities, recreation, park <br />maintenance, and engineering). Work is performed under the limited supervision of the Public Works <br />Superintendent. <br />QUALIFICATION REQUIREMENTS <br />To perform this job successfully, an individual must be able to perform each essential function satisfactorily. <br />The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable <br />accommodations may be made to enable individuals with disabilities to perform the essential functions. <br />ESSENTIAL FUNCTIONS OF THE POSITION <br />Responds to public inquiries over the phone, via letter/e-mail and in person regarding departmental policies, <br />procedures, services, and construction projects. Investigates problems as indicated and makes contacts as <br />necessary to work out solutions. Promotes and maintains a favorable image of the City through positive <br />community relations. <br />Assists the Public Works Director/City Engineer and Public Works Superintendent in implementing and <br />maintaining a work order system to assist the department in tracking incoming requests and efficiently assign <br />tasks. <br />Responsible for managing the day to day record keeping operations including, but not limited to, maintaining <br />inventory control, ordering of materials and supplies, central garage maintenance records, and licensing of fleet <br />vehicles. <br />Maintains the Public Works Department safety, training and other program records as required (training records, <br />SDS information, contact lists, OSHA related records, policies and procedures, serves as administrative support <br />for the Safety Committee, etc.). <br />Maintains lists of current licenses held by each Public Works employee and schedules meetings and/or <br />training/schooling for safety and required licensing compliance. <br />Assists in managing, developing and implementing public information pertaining to assigned Engineering <br />projects via the website, publications, information letters, flyers and other means. <br />Reviews and checks project contract documents, other reports and correspondence for accuracy and <br />completeness. <br />
