City of Arden Hills Personnel Policy'_` Effective February 29, 2016 <br />ri` I�DLN HILLS Amended December 19, October 28 2019 <br />EMAIL POLICY AND INTERNET <br />Purposes <br />The purposes of the City of Arden Hill's electronic mail (e-mail)and the internet, are to <br />provide an efficient and effective means of internal and external communications and to <br />improve work product. This policy addresses access to and disclosure of information from <br />such electronic systems. <br />This policy serves as notice to the employees, volunteers, and contractors of the City that <br />all data, including any that is stored or printed as a document, is subject to audit and review. <br />There is no expectation of personal privacy in the use of the internet, cell phones, and e- <br />mail systems when using the computers, cell phones, or services provided by the City. <br />Finally, this policy serves to delineate acceptable use of eke -awe -mail and internet systems <br />by City employees, volunteers, and contractors (collectively also referred to as "users" or <br />"employees") while using government owned/leased equipment, facilities, internet <br />addresses, domain names, and/or e-mail services registered to or provided by the City of <br />Arden Hills. It seeks to ensure that the use of the internet and e-mail systems by City <br />employees, volunteers, and contractors while conducting work for the City and/or while <br />using City provided systems is consistent with the City's policies, all applicable laws, and <br />the individual user's job responsibilities. <br />Statement of Policy <br />The City promotes e-mail and internet use that enables employees, volunteers, and <br />contractors to perform City missions and encourages its employees, volunteers, and <br />contractors to develop skill in the usage of internet and e-mail. It is expected that employees <br />will use the e-mail and internet to improve their job knowledge; to access scientific, <br />technical, and other information on topics which have relevance to the City; and to <br />communicate with their peers in other government agencies, academia, and industry on <br />matters of relevance to their work for the City. <br />Responsible Use <br />Email and internet are critical mechanisms for government communications. However, <br />the improper use of email and internet systems and services can compromise the security <br />of the network or result in legal liability for the City. As a result, the provision of email <br />and internet to an employee is a privilege, not a right and must be used with respect and in <br />accordance with the goals and policies of the City.
