1 of 2 AGENDA ITEM – 1F MEMORANDUM DATE: May 18, 2020 TO: Honorable Mayor and City Councilmembers FROM: Dave Perrault, City Administrator SUBJECT: HVAC Discussion Budgeted Amount: Actual Amount: Funding Source: $350,000 TBD Building/Equipment Fund For Council Consideration The City Council may consider providing further direction on moving forward with engineering proposals to replace the City’s current HVAC equipment. Background At its February work session, the City Council directed staff to seek out Request for Proposals to have an independent consultant assist the City with its HVAC replacement. This was following a proposal by Johnson Controls to handle the entire project, background information regarding the Johnson Controls project is attached to this memo (see Attachment A). Staff reached out to six different firms for proposals and received proposals from five of the six. The request for the firms was to assist the City with the design and project management of the HVAC replacement (similar in scope to what Johnson Controls was proposing). The proposals received do not estimate a cost for the purchase and installation of the equipment, but for the design and project management. The proposals range from $46,200 to $99,780. The table below illustrates the firms that submitted proposals, the cost for the design and project management to replace current equipment with similar equipment, the cost for the design and project management if during the review a different design is recommended, and the total cost range for each proposal.
