AGENDA ITEM — 3C <br />'It <br />,ARZEN HILLS <br />MEMORANDUM <br />DATE: November 27, 2023 <br />TO: Honorable Mayor and City Councilmembers <br />FROM: Dave Perrault, City Administrator <br />SUBJECT: City Council Meeting Scheduling for 2024 <br />Budgeted Amount: Actual Amount: Funding Source: <br />N/A N/A N/A <br />For Council Consideration <br />The City Council should consider providing direction on the 2024 City Council meeting <br />schedule. <br />Background <br />The City Council has traditionally held three official meetings per month, City Council Regular <br />Meetings on the second and fourth Monday of the month and a City Council Regular <br />Worksession on the third Monday of the month. Note, these do not include <br />committee/commission or other meetings associated with City Councilmember duties. <br />This past October and November the City Council cancelled its normal worksession and instead <br />held special worksessions prior to the regular meetings, eliminating the third Monday of the <br />month meeting. Staff is seeking direction on how Council would like to proceed in 2024. The <br />City Code does specify the meeting schedule, so permanent changes would require a code <br />amendment. Lastly, Council will want to consider if it does cancel one regular meeting a month <br />in the first quarter of the year, how will that affect any newly proposed schedule. That said, <br />Council may want to consider cancelling one meeting a month in the first quarter of 2024 and <br />decide in February/March how it wants its meeting cadence for the rest of the year. Below are <br />some options to consider: <br />Make no changes to the meeting schedule and proceed as specified in City Code (three <br />meetings a month). <br />o Meeting cadence: second Monday of the month Council Meeting, third Monday <br />of the month worksession, fourth Monday of the month Council meeting. <br />• Temporarily cancel one meeting per month in the first quarter and reassess in February or <br />March (two meetings per month). Traditionally, Council has cancelled the second <br />meeting of the month and still held the worksession on the third Monday. One additional <br />Page 1 of 2 <br />
