NO. 87-14;
RECORDS RETENTION

Council was referred to memorandum from Clerk
Administrator (2-20-87), reo Records Retention
Schedule. She noted the schedule was obtained from the
League of Minnesota Cities, is used by many municipalities and has been
approved by the Minnesota Historical Society. Morrison noted that culling the
Village files, after adoption of the resolution, would be a lengthy process and
suggested microfilming be considered after the process is completed.

Council discussed the possibility of citizen participation in the culling
process; it was determined that staff would more readily recognize documents
that should be preserved or destroyed. Also discussed was the retention period
for tape recordings on Council meetings. It was determined that the tape
recordings were used primarily by the secretary, for composing Council minutes,
and it was not necessary to retain the tapes.

Councilman Peck suggested the Attorney review and approve the retention
schedule.

.

Moved by Hansen, seconded by Sather. that Council adopt
RESOLUTION NO. 87-14.
