Alternates <br />I An additional item note with regard to this project is the need to address the alternate bid <br /> items. According to most, if not all of the Contractors submiuing bids, it appears that the <br /> establishment of turf prior to the 1996 softball season will be next to impossible to ensure <br />. without the inclusion of the irrigation system. This alternate bid item totals $".i,OGO <br /> ($I.ooo less than estimated). The use of irrigation and sod for lUrf establishment will give <br /> \he City a higher degree of certainty that the new fields will be ready for play next Spring. <br />I It is our recommendation that this method of turf establishment be used by the City to <br /> ensure an acceptable playing surface for 1996. <br />I The final alternate for the City's consideration is the installation of lights on the southeast <br /> ball diamond. This item was bid at $49,000 ($4,000 higher than previously estimated) <br />l- and the configuration designed would accommodate the possible lighting of the south west <br /> field in the future. Parking lot lights may also be included for $2,800 and the City may <br /> get a $1,400 deduction for the installation of wood poles versus steel. <br />I Recommendations <br /> Based upon the alternatives presented above, it would be our recommendation to award <br />I the contract to Veit & Company in the amount of $256,575,00 to include the installation <br /> of the irrigation system as proposed in Alternate 6.0. Additionally, if the Council wishi::s <br /> to include field lighting in one of the ball fields. MSA would recommend accepting both <br />I Alternate 7.0 (Southeast Field lighting) and 7.1 (Parking lot addition and deduction for <br /> wood poles). This would result in a total contract award amount 0[$306,975.00, and all <br /> estimated total project cost of approximately $362,000 based upon a 5% contingency cost <br />I and associated overhead costs. Additionally, we also make the following recommendations <br /> for your consideration: <br />I . The City of Arden Hills should note acceptance and receipt of all nine bid <br /> proposals. Bid bonds should be returned to all but the three low bidders <br /> for the project. <br />I . The City should award the project to Veit & Company, upon resolution of <br /> the alternate bid items presented. <br />I . All conditions and transactions as noted herein be subject to review and <br />I- input of the City Attorney. <br />I <br />
