Page 2 of 3 <br />Following City Council approval, the project was sent to seven contractors on Thursday, <br />February 13, 2025, inviting them to provide a quote for the project. Five quotes were received on <br />March 5, 2025. Two bidders reached out and stated that due to the small scope of the project they <br />would not be interested in bidding. Knowing <br />that this was a smaller project and higher than anticipated costs were likely, staff and the <br />consultant reviewed areas of the project that could be handled in-house or with the ICWC work <br />crew as a cost savings measure. <br /> <br />Staff felt that the removal of the playground equipment and safety surface material (existing <br />engineered wood fiber) removal could be done in-house for a savings of approximately <br />$31,250.00. City maintenance staff was part of the discussion and indicated they could <br />reprioritize their workload to accommodate these tasks. <br /> <br />After additional investigation, the consultant found a group to remove both playgrounds at no <br />cost to the city. Based on this arrangement, city maintenance staff would only need to remove <br />and dispose of the existing engineered wood fiber surfacing material. <br /> <br />Discussions with the low bidder, Albrecht Company, were had to make sure they were amenable <br />to the changes in the bid, which they were. With the changes mentioned above, the adjusted <br />contract bid amount is $86,353.00. <br /> <br />Bid Alternate <br />Included in the plans was a bid alternate for additional improvements to Arden Oaks Park that <br />included an ADA bituminous trail connection from Arden Oaks Drive to the playground <br />containers, as well as a portable restroom enclosure, and concrete pad for trash receptacles. <br />While there is a desire to provide an accessible route to the playground containers at Arden Oaks <br />(new playgrounds are designed to be all-inclusive and ADA accessible), it was included as an <br />alternate bid to allow for flexibility in the composition of the overall project depending on <br />bidding results. Pricing for the alternate bid are included in the table above.
