Page 2 of 3 Following City Council approval, the project was sent to seven contractors on Thursday, February 13, 2025, inviting them to provide a quote for the project. Five quotes were received on March 5, 2025. Two bidders reached out and stated that due to the small scope of the project they would not be interested in bidding. Knowing that this was a smaller project and higher than anticipated costs were likely, staff and the consultant reviewed areas of the project that could be handled in-house or with the ICWC work crew as a cost savings measure. Staff felt that the removal of the playground equipment and safety surface material (existing engineered wood fiber) removal could be done in-house for a savings of approximately $31,250.00. City maintenance staff was part of the discussion and indicated they could reprioritize their workload to accommodate these tasks. After additional investigation, the consultant found a group to remove both playgrounds at no cost to the city. Based on this arrangement, city maintenance staff would only need to remove and dispose of the existing engineered wood fiber surfacing material. Discussions with the low bidder, Albrecht Company, were had to make sure they were amenable to the changes in the bid, which they were. With the changes mentioned above, the adjusted contract bid amount is $86,353.00. Bid Alternate Included in the plans was a bid alternate for additional improvements to Arden Oaks Park that included an ADA bituminous trail connection from Arden Oaks Drive to the playground containers, as well as a portable restroom enclosure, and concrete pad for trash receptacles. While there is a desire to provide an accessible route to the playground containers at Arden Oaks (new playgrounds are designed to be all-inclusive and ADA accessible), it was included as an alternate bid to allow for flexibility in the composition of the overall project depending on bidding results. Pricing for the alternate bid are included in the table above. Due to the project costs as-bid, staff recommends budgeting for and completing the alternate bid work at Arden Oaks in 2026.
