State of the City Policy and Procedures <br />Summary: <br />The State of the City is an annual event hosted by the Mayor and Councilmembers to update <br />residents, businesses and other stakeholders on the City’s progress, priorities and future plans. It is <br />an opportunity to share future goals, display transparency and engage with the community. <br /> <br />Planning and Organization <br />Planning will take approximately three months with the following in mind: <br /> <br />Date and Time: Held mid-morning on the third or fourth Saturday in the month of September. <br /> <br />Location: City Hall <br /> <br />Topics: <br />• Introduction/General Administration – Org Chart <br />• Rice Creek Commons/TCAAP <br />• Public Works <br />• Community Development <br />• Public Safety <br />• City Finances <br />• Other initiatives that impact the community <br /> <br />Other details: Light refreshments will be available, including coffee, donuts, water. <br /> <br />Staff Point of Contact: Senior Communications Coordinator <br /> <br /> <br />Month 1 (June-July) <br />Marketing <br />Create a logo and begin advertising in city newsletter (July edition), city website, social media and <br />the cable channel. NineNorth manages and schedules items on the channel. <br /> <br />Design the mailer/invite to all businesses. <br /> <br />Presentation <br />A template PowerPoint presentation will be established. While graphics, design or branding of the <br />event may change from year to year, the general format will not. Ensure the City’s Org Chart is <br />correct. <br /> <br />The PowerPoint presentation will be broken into multiple documents – one for each topic. <br />Directors will receive a copy of their portion of the presentation and begin creating content for <br />their topic. <br /> <br />Option —8 - Except for the Introduction topic, which is presented by the Mayor, the City Council will <br />be asked each year to notify the Senior Communications Coordinator which topic they are <br />interested in presenting. If there are dual requests for the same topic, staff will review who <br />presented from the previous year and make sure there is a rotation of topic assignments by <br />Council.
