<br />j;;)C.lrtl1?l'l t? y~ <br /> <br />e <br /> <br />Arden Hills Website Task Force <br />Minutes - May 17. 2000 <br /> <br />1. Called to Order: 7:05p by Chair Craig wilson. Attending were: <br />task force members Roger Aiken (Tom MacCallum and Joe Turgeon was <br />unable to attend); Jennifer Chaput, city planner and staff liaison; <br />Lois Rem, council liaison. <br /> <br />2. The group discussed points to include in their study: <br />a) Audience: primarily but not exclusively residents; <br />b) Inform/Outreach; <br />c) Cost-effective; <br />d) Focal point to integrate in gradual way existing City <br />technologies for which we already pay but do not receive full <br />benefits (e.g. tie into cable); <br />e) City publications and documents posted and archived; <br />f) City philosophy statement; <br />g) Community bulletin board. <br /> <br />. <br /> <br />3. Topics to cover in report to Council: <br />a) WWW: what it is & why created; growth and use; <br />b) Purpose and use by various entities (.com, edu, gov, etc.); <br />c) Cost (host, perhaps approx. $500/year; creation, maintenance <br />approx. $100/mo.~approx. $1,200/yr.); <br />d) Benefits: distribute information more widely at any time; save <br />staff time (FAQ, download vs. send forms, etc.) <br />e) Survey: potential users/providers (contractors, cities, <br />agencies); questions to ask include cost/yr, staff time, <br />number of hits, perceived as benefit or not, who maintains <br />(central or departmental) <br />f) Security and liability issues: including "does the City have a <br />technology policy and what does it cover?". <br /> <br />4. After conducting a study and making a report, the task force <br />would recommend either: <br />a) Not to proceed or <br />b) To proceed. <br /> <br />5. If recommendation is (b) to proceed and Council determined to do <br />so, the next steps would include: <br />a) determining a website budget; <br />b) establishing necessary policies; <br />c) determining staff responsibilities; <br />d) establishing and implementing design, templates, etc; <br />e) compiling documentation of procedures, responsibilities, etc. <br /> <br />6. The group also did a brief document review of the following: <br />a) the league of MN Cities presentations on setting up municipal <br />websites (handouts to task force); <br />b) content and organization of other cities' sites (Bloomington, <br />Edina, etc.)-note especially "welcome" sections and <br />disclaimers. <br /> <br />. <br /> <br />7. Issue outstanding from first meeting: <br />Request to Council for clarification of their charge and for <br />permission to conduct a fuller survey of the City's technical <br />capabilities and needs so that the website issue can be put into <br />
