Staff presented a draft policy
and application form at the December 2001 work session in which Council comments and
changes were incorporated into a final draft. This meeting room rental policy was reviewed and
approved at the January 28, 2002 City Council meeting.

At the August 23, 2004, City Council work session, staff requested that City Council review the
existing meeting room policy/application form and determine if any changes were necessary.
City Council Members asked staff to review and compare the current meeting room policy and
rental fees charged by other local communities. For your review, City staff members have
included a revised meeting room application form, policy, and spread sheet comparing the
meeting room rental rates of other communities.

City staff also requested feedback from the City Council regarding evening usage of the City
Hall facility. In the past, most outside groups have been unable to use the building in the
evening due to staffing and security concerns. At this time, the City only offers use of this
facility to groups in which the City of Arden Hills has a cooperative relationship with (Ramsey
County, City ofNcw Brighton, etc...). In order for these groups to have access to the City Hall
building, a staff person is required to open, lock up, and secure the building at the end of the
evening.

\\Earth\Admin\Assistant City AdministratorlMeeting Room\Meeting Room Policy and Application Form- WS
Mtg.DOC
